Record funding usage and corrections

Coming soon

Keep an allocation’s history accurate without deleting or overwriting saved financial events.

This feature is coming soon. This guide explains how to use it once it becomes available.

Where to find it

Participants → select a participant → Funding → open an allocation

Before you start

You need an existing allocation and permission to manage funding. Check its history before recording an event so you do not count the same usage twice.

Steps

  1. Review the allocation history

Open the allocation and check its recorded events and summary. Pending charges and posted usage are separate: pending amounts help estimate availability but are not a second posted deduction.

  2. Record manual usage when needed

For usage that has not already been recorded through billing, choose Record event and select Usage. Enter a negative amount in AUD, the As at date and a clear Reason. Add the Information source if useful.

  3. Correct an existing event

Choose Adjustment, Reversal or Release as appropriate and select the Event being adjusted or offset. A positive adjustment increases the estimate. Reversals and releases offset the full original amount; the form fills that amount from the linked event.

  4. Check before saving

Review the amount, date, reason and linked event, then choose Record event. Saved events remain in the history. If another correction is needed, record a linked correction rather than attempting to erase the earlier event.
