Record and approve charges

Coming soon

Record delivered work with a case note or as charges only, then send it for billing review.

This feature is coming soon. This guide explains how to use it once it becomes available.

Where to find it

Notes & charges → Create case note or Record charges

Before you start

Service billing must be available and enabled, with service items configured. Your permissions and the service’s billing policy determine whether you can enter or review charges.

Steps

  1. Choose how to record the work

Use Create case note when you need both documentation and charges. Choose Record charges for a charge-only record. Select the participant, service and session details.

  2. Add the charge lines

Choose the service items, quantities and applicable rates. Check the calculated amounts. If Funding is enabled and an allocation is available, select it for the relevant line.

  3. Save or submit

Save a draft while work is incomplete. When ready, submit the charges for approval. Check that the items, dates and amounts describe the work delivered.

  4. Review the billing component

An authorised billing reviewer opens the record and checks its charge lines. Use the available approval, return or rejection actions; give the requested reason when returning or rejecting work.

  5. Prepare approved charges for invoicing

Owners and Finance can find eligible approved charges in Billing → Charges → Ready to invoice. Charges already invoiced cannot be selected again.
